Hiring Range:       $35.24 – $38.76 (Depending on experience)

The City of Unalaska is accepting applications for the Administrative Assistant II position for the Department of Fire and EMS.  Located in the central Aleutian Islands, Unalaska, Alaska, is a multicultural coastal community of approximately 4,250 full-time residents and is home to the number one commercial fishing port in the United States, the International Port of Dutch Harbor.

GENERAL DESCRIPTION:

This position provides administrative and operational support to the Fire/EMS department and works under the direct supervision of the Fire Chief. The role involves a mix of customer service, clerical duties, and financial tasks. The primary goal is to ensure efficient department operations and maintain positive community relations. Key responsibilities and duties include:

Customer Service: This position serves as the primary point of contact for both internal and external customers. Responsibilities include greeting and assisting visitors, addressing customer inquiries and complaints, and resolving issues whenever possible. The role requires effective communication and problem-solving skills to ensure customer satisfaction. Additionally, this position collaborates with the Clerk's office to fulfill public information requests in accordance with established procedures.

Administrative and Financial: The role involves managing office operations, including correspondence, supply procurement, equipment maintenance, and recordkeeping. This includes sorting, distributing, and logging mail, purchasing office supplies, ensuring equipment functionality, composing and editing documents, and maintaining accurate electronic and paper records. Additionally, the position requires data management, such as entering, updating, and reporting information in spreadsheets and databases. On the financial side, responsibilities include processing purchase orders, managing accounts payable, and tracking payments for departmental training.

Other Department Support: This position provides essential administrative and public-facing support to the department. Responsibilities include scheduling appointments, assisting with budget preparation, managing the department's online presence, and coordinating the new volunteer process. The role also involves providing support to department personnel in delivering public education sessions and fire prevention programs. Additional duties will include general administrative support to department personnel.

•  Excellent organizational skills and attention to detail; time management skills with a proven ability to meet multiple deadlines.
•  Knowledge of administrative policies and procedures of the City.
•  Knowledge of current office practices and procedures and knowledge of the operation of standard office equipment and software.
•  Proficient with Microsoft Office Suite and software consistent for this position.

EDUCATION & EXPERIENCE:

•  High School Diploma or GED equivalent required. Some post-secondary education is preferred.
•  Two (2) years of administrative support and customer service experience working in a Fire/EMS System or environment.
•  Combination of education and experience that could provide necessary knowledge, skills, and abilities will be evaluated on an individual basis

LICENCES & SPECIAL REQUIREMENTS: 

•  Must be at least 18 years of age
•  Must have a valid US Driver’s License and have the ability to obtain an Alaska Driver’s License within 30 days of hire
•  Must be eligible to work in the US; requirements by federal law, if hired, must complete employment eligibility verification (I-9)
•  Required to complete a thorough criminal investigation and all pre-employment requirements, which includes drug testing
