Position: Administrative Specialist
Salary: [Non-Union Position Min-Mid Range] $23.05 - $28.81 /hourly
The City of Unalaska is accepting applications for the position of Administrative Specialist in the Administration Department. Located in the central Aleutian Islands, Unalaska, Alaska is a multicultural coastal community of approximately 4,500 full-time residents and is home to the number one commercial fishing port in the United States, the International Port of Dutch Harbor.
The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Shown are duties intended to provide a representative summary.
GENERAL DESCRIPTION: Provides a higher level office and specialized support duties in administrative, technical and customer service duties for Risk Management and Human Resource Management. The position exercises initiative and discretion in making judgments based on operating guidelines on behalf of Risk and HR, and performs a wide range of duties, including but not limited to, conducting research, preparing reports and spreadsheets, preparing correspondences, handling information requests, maintaining notary program, risk assessment, insurance, workers’ comp claims, compliance for both Risk and HR and maintaining electronic systems i.e. (MUNIS, Target Solutions) and other types of assistance as needed.
KNOWLEDGE, SKILLS & ABILITIES: Ability to provide effective administrative support for Risk and HR Management including but not limited to handling general office management duties and responsibilities, including filing, data entry and phone calls. Ability to assist Risk Manager in providing: Workers Comp paperwork, filing and claims, respond to employee requests regarding housing and process any employee changes, maintain and ensure accurate completion of paperwork submitted, attends meetings in support of the safety committee and others and processes payment authorization as assigned. Ability to assist Human Resource Manager in providing: Lead Employee orientation and process onboarding and exit paperwork, enter and accurately enter employee changes, responds to department and employees requests, generate reports, and manages employee personnel files. Superior organizational skills with the ability to handle multiple tasks and prioritize in a demanding and fast pace environment. Required and able to safeguard sensitive information and maintain confidentiality. Ability to provide the highest quality of customer service to both internal and to third parties, includes general public in a friendly and professional orientated manner. Detail oriented with exceptional problem solving skills. Have excellent computer skills including Microsoft Office Suites. Excellent communication skills both written and verbal and ability to follow instructions. Able to perform other and assigned administrative duties as required supporting the mission and function of the administration department.
EDUCATION & EXPERIENCE:
High School Diploma or GED equivalent required.
College education in a related field of HR, Risk or Public Administration preferred.
Minimum four (4) years working in a professional administrative support with at least two (2) of those years being in either or combined field of HR, Risk or Public Administration.
Must have prior experience working in a related field with a demonstrated ability to maintain confidentiality and security.
Public sector work experience preferred.
LICENCES & SPECIAL REQUIREMENTS:
Must be at least 18 years of age.
Must have or ability to obtain an Alaska Driver’s License within 90 days of hire;
Must be eligible to work in the US; if hired must complete employment eligibility verification form (I-9) as required by Federal law.
Successfully pass background test which includes criminal background, professional and reference check.
Successfully pass a pre-employment drug and alcohol test.

Travel allowance $1,500 every year on your date of hire.

Paid Time Off starting at 8 hours per pay period.
