The Department of Administration is accepting applications for the position of Administrative Coordinator. This position is open for applications until Friday, December 1, 2017.

GENERAL DESCRIPTION: This position, under the direct supervision of the City Manager, is responsible for providing administrative support and assistance to the City Manager, the Mayor and City Council.

EXAMPLES OF WORK: This position coordinates special events for the City including receptions, banquets, dedication ceremonies, the legislative lobbying trip and fly-in, community fireworks displays, etc. Coordinates travel arrangements for city manager, mayor and council to annual conferences and meetings with professional organizations. Administers city website and social media pages. Coordinates janitorial RFP and contracts for all city departments. Compiles and distributes various reports including monthly department reports, annual assessment of city services and the community profile. Prepares and submits to state for employer of lobbyist. Position responsible for administrative duties including drafting, editing and distributing correspondence, memos and other documents; purchase orders and payment authorizations. Assists with annual budget preparation. Coordinates copier repair and maintenance for all City departments. Responds to requests for information from employees, the public, consultants and representatives of local, state, and federal agencies. Responsible for the maintenance of various files and records management for the city manager’s office. Duties also include answering incoming phone calls, obtaining signatures, filing, faxing, and scheduling meetings for City Manager.

KNOWLEDGE, SKILLS AND ABILITIES: This position requires the ability to work effectively with staff and the public in a courteous, efficient and professional manner. Must have the ability to maintain productive working relationships and professionalism when under pressure. Have strong written and oral communication, problem solving, interpersonal and organizational skills. Ability to learn rules, regulations, policies, procedures and terminology used in public government office environment. Must have the ability to maintain confidentiality and security.

EDUCATION AND EXPERIENCE: High School Diploma or GED equivalent required. Four years of related professional office experience required. Must be proficient in a Windows computer network environment and have strong typing skills. Knowledge of basic office equipment including, but not limited to: word processor, fax machine, multi-line telephones, calculator and multi-function printer/copier. Ability to learn Munis software. Must be able to operate a City vehicle.

LICENSES AND SPECIAL REQUIREMENTS: A valid Alaska Drivers License or the ability to obtain one within 90 days of employment. Candidate required to successfully complete a drug test prior to beginning work.
